Five quotations you can really compare.
We prepare your tender document for a new packaging machine – structured, technically sound and with a component standard your maintenance team will support.
Request the Tender Package →What an imprecise tender costs later
The tender is the document the whole project is aligned to. What isn’t in it gets negotiated later – at a point when you no longer have a choice.
The lever is right at the start: in the document that forces all bidders to give the same answer.
Request the Tender Package →This is what it looks like when the tender is right
What changes for you in concrete terms – from the first quotation to acceptance:
What you get
The component standard
This is the part most tenders leave out – and the one that decides the next ten years of operation. One page, four columns, plus a fifth for the bidder to fill in:
Then we adopt it unchanged. The bidder receives exactly your requirements and has to respond to them.
Then use our template. We go through it together in the coordination call and adapt it to your plant – to what is already installed and to what your maintenance team has in stock.
That gives you the beginning of your own standard that carries every future project.
| Component | Recommended standard | Permitted alternative | Note | Version offered |
|---|---|---|---|---|
| Drives and motors | named makes and series | equivalent after approval | check spare parts availability and service network | to be filled in by the bidder |
| Control system and HMI | one control system family across the whole plant | after consultation | operators should not have to relearn | to be filled in by the bidder |
| Contactors and switchgear | named makes | equivalent after approval | must match the maintenance team’s stock | to be filled in by the bidder |
| Sensors | uniform design and connection technology | equivalent after approval | replacement in case of failure without special parts | to be filled in by the bidder |
| Pneumatics | uniform fittings and hose sizes | named makes | reduces the spare parts range considerably | to be filled in by the bidder |
| Safety technology | consistent concept | none | observe interface to existing equipment | to be filled in by the bidder |
| Equipment labelling | according to a defined scheme | none | basis for maintenance and troubleshooting | to be filled in by the bidder |
Who does what
- Provide the complete format list of all products and pack formats the machine is to process – with dimensions, weights and output requirements per format. This is the single most important input of the whole tender
- Provide existing documents: layout, performance data, adjacent equipment
- Name your plant standard, if there is one – if not, we use our template
- Name a contact person from engineering or the project department
- Send us your non-disclosure agreement, if you use one – we sign it before the call
- We go through the question list in a video call
- We clarify interfaces, boundaries and priorities
- We define the acceptance criteria
- You read the first version and give us your comments
- Prepares the complete tender document – with you after 48 hours
- Compiles the component standard, based on your standard or our template
- Delivers the evaluation grid
- Specifies the document hierarchy for you – which document takes which precedence in the order and how the documents are integrated as a contract annex. This is exactly what later decides who is right in a dispute
- Works in your corrections
- Hands over everything in editable form – it belongs to you
When it pays off – and when it doesn’t
- You are tendering one machine – cartoner, flow wrapper, labeller, palletiser, capper or similar
- You are obtaining several quotations and want to compare them reliably
- Your team currently lacks the capacity or the specialist for exactly this task
- You want to standardise your standards across several projects
- A complete line or a new plant. We do that too – but not at a fixed price. Talk to us and we’ll look at the scope
- The machine has already been ordered – then the leverage is gone, and we’d better talk about acceptance
- You need a pure price enquiry for a spare part
- There is only one supplier under discussion anyway
Joachim Quantz
I have looked after capital projects up to the tens of millions – for mid-sized businesses as well as international groups, from new plant construction with multilingual installation teams to the single line that didn’t reach its output. I know both sides of the table: that of the manufacturer who writes the quotation, and that of the operator who has to live with it later.
That is exactly what your tender document grows out of. Not from a template, but from the experience of which gaps become expensive later.
If the package isn’t enough, POWERJO also supports the whole project – with project managers, process engineers, design engineers and PMO staff on demand. But you decide that later, not now.
One fixed price, no surprises
Fixed price for the complete package, including coordination call and correction loop. The Tender Package runs fully online – it doesn’t matter where your plant is, and there are no travel costs. Plus VAT.

You’ll get a reply within one working day. If the package doesn’t fit, we’ll tell you that too.

Frequently asked questions
- How long does it take?
- After 48 hours, i.e. two working days after our coordination call, your tender is with you. If your machine is particularly special, we’ll suggest a few more days ourselves – a good tender matters more than a fast one.
- Does this also apply to a complete line?
- Not for this fixed-price package – it is tailored to one machine. We also tender complete lines and new plants, but for that we need a separate quotation. Just ask us.
- We don’t have a plant standard at all. Is that a problem?
- On the contrary. Then we bring our template and go through it with you in the call – adapted to what is already installed at your plant. Afterwards you have not only a tender, but the beginning of your own standard.
- Do you have to come to our plant?
- No. The Tender Package runs fully online, the coordination call by video. If you need someone on site, the Efficiency Day is the right format.
- What if we already have a requirements specification?
- Then we check it, fill the gaps and attach the component standard. Just say so in the preliminary talk.
- Do we need a non-disclosure agreement?
- If you use one: gladly, send it to us in advance and we’ll sign it. If you don’t have one, we’ll provide one. For the tender you share layouts, format lists and your plant standards with us – that this stays in-house goes without saying and is nevertheless regulated in writing.
- Do the documents belong to us?
- Yes. You receive everything in editable form and can reuse it for further projects – even without us.
- Do you also support the quotation evaluation?
- On request, yes – that is not part of the fixed price, but can follow on directly.
